Job Description

The Vanuatu Society for People with Disability (VSPD) is a national wide Non-Government Organisation which assists people with disabilities to participate as fully as possible in Community life in Vanuatu. VSPD has been providing support and services for people with disabilities in Vanuatu for more than 30+ years. Our services include early intervention, community based rehabilitation, advocacy and awareness relating to disability and the rights of people with disabilities.

Due to continued growth, we are now seeking expressions of Interest for a Receptionist and administration officer who will be based in Port Vila.

Purpose of Position
The Receptionist and Administration officer works under direct supervision of the Operations Manager (OM) and is responsible for the smooth management of the reception area, maintenance of office inventory and assets and other administration duties.

Duties & Responsibilities
Reception

  • Ensure reception is staffed and maintained during opening hours
  • Serve visitors by greeting, welcoming and directing them appropriately
  • Attend to all general inquiries in a courteous and professional manner.
  • Attend all incoming telephone calls, take message where appropriate and refer matters to appropriate staff.

Administration:

  • Ensure Knowledge of staff movements in and out of organization
  • Monitor visitor access and maintain security awareness
  • Management of VSPD Conference room – receive conference room bookings and advise the finance officer for invoicing
  • Prepare meeting/ training room and function area when needed
  • Manage the outgoing and incoming of valuable assets/ inventory such as laptops, camera etc and making sure that office equipment is maintained.
  • Manage all office supplies, equipment and furniture
  • Assist with a variety of administrative tasks such as photocopying, taking minutes/ notes making travel plans etc
  • Perform other ad-hoc administrative/ duties and not limited to finance such as receiving of conference room payments and donation payments.

Required Skills and Experience:

  • A minimum of 1 -year experience in public or private administration
  • Year 12/ 13 Certificate, other certificate
  • Attention to details/ strong customer service skills
  • Excellent organization and strong communication skills
