Job Title: Purchasing/Stores Assistant
Contract Type: Full Time
REPORTS TO: Purchasing Manager and Financial Controller
POSITION SUMMARY:
We are looking for a Purchasing/Stores Assistant to assist our purchasing manager on buying products and maintaining the stores related work to support the company’s day-to-day operations.
For this role, you should have good knowledge of food and beverage purchasing locally, along with solid analytical skills to make sure you are identifying the most profitable offer and report to Purchasing Manager and Financial Controller.
ROLES & DUTIES:
- Assist the Purchasing Manager with sourcing, requesting quotations, and comparing prices.
- Prepare purchase orders and ensure they are approved as per hotel policies.
- Follow up with suppliers on order status, delivery timelines, and backorders.
- Maintain updated records of suppliers, price lists, and contracts.
- Liaise with different hotel departments (Kitchen, Housekeeping, Maintenance, etc.) to
understand their purchasing needs. - Receive, check, and verify deliveries against purchase orders and invoices.
- Inspect goods for quality, quantity, and condition before acceptance.
- Record all stock receipts and issues.
- Safely store items in designated areas, ensuring proper rotation (FIFO/FEFO method).
- Monitor stock levels and notify the Purchasing Manager when reordering is required.
- Assist in conducting monthly stock takes and reconciliations.
- Maintain proper filing of purchase orders, delivery notes, and invoices.
- Support in maintaining compliance with hotel purchasing policies and audit requirements.
REQUIREMENTS:
- Good communication and negotiation skills with suppliers and internal departments.
- Basic computer literacy (MS Office, email) and experience with hotel inventory/POS systems is preferred.
- Ability to handle multiple tasks and meet deadlines.
- Honest, reliable, and able to work under minimum supervision.
- Knowledge of food & beverage products, housekeeping supplies, and maintenance materials.
- Valid driving license will be considered an advantage.
- Physically fit to handle lifting, moving, and storing goods.
