We are looking for Logistics Officer to join our Operations team based in Port Vila.

The Officer – Logistics, is responsible to ensure that the Care Logistics function is efficient and maintains an updated inventory and asset list in compliance with CARE’s policy and guidelines. This position is responsible for receiving goods, storage and stock movement (i.e. delivery of goods).

This position is based in Vila, with possible travel required to other sites and must hold a current driver’s license.

Your major responsibilities will be varied and will include:

Warehousing and Storage:

  • Manage the CARE Vila warehouse including ensuring effective controls, storage and movement of supplies in and out of the warehouse.
  • Work collaboratively with the procurement team to ensure there is clear communication regarding stock;
  • Maintain good communication with the program and fields teams to make ensure efficient transportation takes place;
  • Manage transportation and freight requirements for moving supplies to the warehouse and to CARE program sites;
  • Receive the goods as per the description on the purchase order/request. Inspects goods upon delivery and rejects inadequate, broken, lower quality and other items not meeting the requirements of the order and ensure all information is collected on the Goods Received Notes;
  • Work with requestor, procurement and finance teams to ensure the smooth transaction of goods and services;
  • Maintain a register of supplier/transporter list;
  • Maintain the inventory system to ensure stocks are stored in a clean and good ventilated environment to prevent damage and are easily accessible;
  • Make sure stocktaking is completed quarterly and spot checks weekly;
  • Ensure all Stock Cards, Inventory, Stock Report Database are daily updated;
  • Incoming, outgoing stocks and damage are recorded systematically;
  • Maintain an excellent logistical filing system; and
  • Ability to undertake heavy-duty tasks, within reason, as required.

Asset Management:

  • Ensure registration, marking, and tracking of all assets on receipt of the asset(s) by recording and updating the Asset Register and affixing CARE and Donor (where applicable) Asset Tags; and
  • Ensure the Asset Register is updated on a regular basis, paying particular attention to correct disposal procedures, additions and movement of all assets;

Required qualifications and experiences:

  • Minimum technical diploma and/or vocational training in logistics, inventory and asset management and / or minimum 2years relevant work experience, preferably in logistics with an International Non-Government Organisation (INGO);
  • Fluent communication (oral & written) skills in Bislama and good in English;
  • Ability to ensure the implementation of intricate logistics/storage transactions;
  • Demonstrated high level organisational and time management skills, including the ability to plan and manage workflows and balance competing priorities to ensure timely processing to meet deadlines in a complex environment;
  • Demonstrated experience in following standard policies, procedures and processes;
  • Demonstrated honesty, reliable and trustworthy.
  • Demonstrated ability to take direction and to work as part of a team;
  • A willingness to learn about CARE, gender equality and women’s empowerment activities;
  • Proven ability in managing a budget and/or cash; and
  • Good in Microsoft Office with knowledge in Microsoft Word and Excel with numeric skills.
