The Opportunity And Main Purpose Of The Position

We are looking for a motivated and dedicated Legal Secretary/Office Coordinator to support our Legal Team in accordance with the priorities of the business, and to ensure smooth running of our brand new office. Based in Port Vila, you will join a dynamic and growing global team.

Principal Responsibilities and Tasks

Key responsibilities include:

  • Provide day-to-day administrative and secretarial support to the office in general and the Legal Team in particular
  • Collect signatures on various documents and manage and update the Legal Team’s documents database
  • Handle filings, notarizations, legalizations and certifications of corporate documents and KYC documents of the Company group and liaise with notaries and relevant parties
  • Assistance with drafting correspondence and simple legal documents (cover letters, emails, board of directors resolutions and reports)
  • Fill in forms for account opening with our suppliers
  • Handle correspondences with third parties to provide KYC documents for the Company group
  • Under the supervision of the Legal Team, assist in the implementation of the third party risk management program which consists of conducting third parties risk assessment through online research, writing and compiling risk findings and profile reports of third parties
  • Ensure that the Legal Team’s drive and files are correctly named, saved and updated so that they are easily accessed and retrieved
  • Maintain Legal Team expenses records
  • Participate in meetings, coordinate business calendars, office supplies and other secretarial and office management duties
  • Act as the Office receptionist when needed including answering telephone calls and general queries from the public and the Company’s partners
  • Any other duties assigned by the Legal Team or the General Manager

Qualifications, Experience And Competencies

The successful candidate will bring:

  • Diploma or a related Certificate in secretarial work, Legal diploma or similar qualification in a related field
  • Excellent secretarial and organisational skills and attention to detail
  • High level of competency in Word, Excel, PowerPoint
  • Proven research and analytical skills using the internet and online tools
  • Exceptional customer service

Desirable Qualifications and Experience:

  • Proven working experience in a Legal Office as a Legal Secretary or a related role
  • Familiarity with notarisation and certification of documents requirements
  • Prior work experience in Vanuatu or international organizations
  • Familiarity with Google Drive and all its related applications
