Ramada Resort by WYNDHAM Port Vila is seeking a suitable candidate to appoint for the position:

Front Office Manager

The Front Office Manager will directly supervises all front office personnel and ensures proper completion of all front office duties. Directs and coordinates the activities of the front desk, reservations, guest services, and telephone areas. Prepare monthly reports and budget for front office department.

The Front Office Manager is reporting to the General Manager/ Managing Director, where you have responsibility for managing all front office personnel and front office operations. The successful candidate will be able to forecast, plan and manage all the Front office and staffing activities. You will enjoy being part of a supportive senior management team, and the goal is to maximize friendly Customer services and Guest engagement.

Working closely with the General Manager/ Managing Director the key duties of the role will include:

  • Manage and Trains cross –trains, and re- trains all front office personnel.
  • Participates in the selection of front office personnel.
    Supervises and Schedules the front office workload during shifts.
  • Evaluates the job performance if each front office employee.
  • Maintains working relationships and communicates with all departments.
  • Manage and Verifies that accurate room status information is maintained and properly communicated.
  • Resolves guest problems quickly, efficiently, and courteously.
  • Updates group information. Maintains, monitors, and prepares group requirements. Relays information to appropriate personnel.
  • Reviews and completes credit limit report.
  • Manager the cashiers in and out and verifies banks and deposits at the end of each shift.
  • Conducts regularly scheduled meetings of front office personnel.
  • Upholds the hotel’s commitment to hospitality.
  • Prepare performance reports related to front office.
  • Monitor high balance guest and take appropriate action.
  • Ensure implementation of all hotel policies and house rules.
  • Operate all aspects of Front Office computer system, including Room Master, report generation and analysis, and simple configuration changes.
  • Ensure that employees are, at all times, attentive, friendly, helpful and courteous to all guests managers and other employees.
  • Maintain an organized and comprehensive filing system with documentation of purchases, vouchering, schedules, forecasts, reports and tracking logs.
  • Perform other duties as requested by management.
  • Provide leadership and direction to the accounting team.

The Candidate
The ideal candidate for the role will have:

  • Certificate in Hotel Management, Business Administration or related field.
  • Guest Service/ hotel experience with 2years in a management capacity , or an equivalent combination of education and experience
  • Type and level of experience required may vary slightly based on size on complexity of operation
  • Commercial decision-making experience.
  • A high energy approach to solving problems
  • Excellent Communication and leadership skills
  • Previous 5-year experience in integrated hotel operations

Selection Criteria
Must Speak, read, write and understand The English, French used in the Workplace (Other language will be a plus). Experienced in Room Master, OPERA Hotel software and their functionalities. Ideally, you will have previous Front office environment and real passion for delivering great customer service. You’re known for your dynamic personality and superior communication skills. You have the flexibility to work various shifts including evenings and weekends.
