Full-Time FINANCE AND ADMINISTRATION OFFICER

Private –  Port Vila, Efate

Job Description

Our client is seeking two experienced finance and administration officer to support our maintenance delivery teams in Port Vila and Luganville. The role will be required to be on site full time. The role will work closely with subcontractors delivering maintenance and ensure all documentation is received and put through our IT system. The role will also manage the finance administration works such as organising invoices from suppliers, providing the weekly and monthly finance reports and safety reports.

Day to day you will be responsible for:

  • Scheduling and managing resources including subcontractors, plant, suppliers and materials
  • Supporting the maintenance manager at Port Vila and Luganville
  • Inducting and recording site attendance for subcontractors.
  • Logging works requests in the system and answering phone calls and emails.
  • Establishing, managing and developing strong relationships with customers and clients
  • Weekly and monthly reporting on tasks and client reporting
  • Logging maintenance activities delivered on site in our works management system.

This is a key role and you will need:

  • Great communication skills including proper email etiquette and report writing
  • Great IT skills to use systems and processes to ensure works are documented, delivered safely and quality works through operational excellence on time and to budget]
  • Desirable to have knowledge across a diverse range of engineering and building assets for maintenance and minor construction works
  • High level of emotional intelligence to work with and build strong relationships with employees, clients, subcontractors, stakeholders and walks the talk
  • To pass a pre-employment drug test & medical is required.
  • Strong proficiency in Microsoft Excel and other Microsoft-based programs.
  • Outstanding organizational skills, with the ability to manage and prioritize multiple tasks in a fast-paced environment.
  • Experience with XERO, MYOB or similar financial systems (preferred but not essential).
  • Fluent in English.
