Job Description

Tropical Agency Ltd specializes in fast and reliable shipping services to and from Vanuatu as well as vessel agency services. With offices in Port Vila and Luganville and our extensive shipping network we are the leading shipping agency in Vanuatu.

Tropical Agency Ltd has an exciting opportunity for an Administration Officer to join our team in Santo and support our daily shipping operation. The position will act as point of contact for all customers providing customer support and multitasking across a range of responsibilities that include handling book keeping activities, receiving and forwarding communications, prepare shipping documentation and taking care of more general clerical work.

You will work closely with the Vila and Santo team in all areas of accounting and administration, documentation and operations to help the team achieve targets as set out by the Country Manager.

Responsibilities

  • Receive and process emails, phone and courier mail.
  • Liaise with the accounting department in Vila to collect and receipt freight. Prepare weekly banking, submit income and expenditure reports, verify receipts, prepare voyage commissions and process customer invoices.
  • Enter import and export manifests in Asycuda before vessel arrives and inform relevant authorities of ships arrival.
  • Prepare export documentation for customer and send booking requests to shipping lines.
  • Ensure that office equipment is in good working condition and repaired when needed.
  • Manage the office petty cash and ensure new office supplies are requisitioned when needed. Submit weekly petty cash reconciliation to Vila office.
  • Keep organized records and files of imports/exports/ accounts.
  • Solve shipping issues with customers and ensure all issues are relayed to the CM if urgent.
  • Problem solves for customers about shipping routes, delays etc and maintains good customer relationships.
  • Works well with Vila/Santo team to complete tasks on time.
  • Develop knowledge about freight and shipping regulations and practices applicable to the local context.
