Job Description

The Vanuatu Society for People with Disability (VSPD) is a national wide Non-Government Organisation which assists people with disabilities to participate as fully as possible in Community life in Vanuatu. VSPD has been providing support and services for people with disabilities in Vanuatu for more than 30+ years. Our services include early intervention, community based rehabilitation, advocacy and awareness relating to disability and the rights of people with disabilities.

Due to continued growth, we are now seeking expressions of Interest for an Administration/ Finance officer who will be based in Santo.

Purpose of Position
The Admin and Finance officer works under direct supervision of the Operations Manager (OM) and is responsible for the smooth administration of the Santo Branch together with managing of all Activity budgets, acquitting and reporting of the same back to main office in Port Vila.

Duties & Responsibilities
Administration:

  • Attend to all general inquiries in a courteous and professional manner.
  • Attend all incoming telephone calls, take message and refer matters to appropriate staff
  • Monitor visitor access and maintain security awareness
  • Manage the outgoing and incoming of valuable assets/inventory such as laptops, camera etc and making sure that office equipment is safe and maintained at all times
  • Manage all office supplies, equipment and furniture
  • Assist with administrative tasks such as data entry, photocopying, travel plans etc
  • Provide fortnightly update of staff leave, absences and also updating the HR records in drop box accordingly
  • Support field staff in administration areas of work as required.
  • Perform other ad-hoc administrative duties

Finance

  • Understand respective donor budget relating to the activities for the Santo branch
  • Facilitate weekly budget request to main office in Port Vila
  • Collect funds from the bank and or Western Union for weekly activities
  • Acquit budget funds and reporting of this to main office
  • Submit hard copy reports to main office and retain a copy of the same in Santo
  • Carry out banking when is necessary
  • Perform all other finance functions relating to the Santo branch
  • Report issues and ensure all finance risk management procedures are in place

Required Skills and Experience:

  • A minimum of 1 -year experience in public or private administration
  • Year 12/ 13 Certificate, Finance/ Admin certificate
  • Proven Experience of handling and reporting of funds
  • Attention to details/ strong customer service skills
  • Excellent organization and strong communication skills
