Full-Time OPERATIONS COORDINATOR

Pacific Aviation Safety Office –  Port Vila, Efate

Job Description

  •  Full-time 3-year contract starting immediately
  •  The position will be based in the Port Vila Office
  •  Position open to Vanuatu citizens only.

The Organization:

The Pacific Aviation Safety Office (PASO) is committed to providing continuous improvement in the quality of aviation safety and security oversight services to comply with ICAO standards, as required under the Convention on Civil Aviation also known as Chicago Convention.

PASO Member States include Cook Islands, Kiribati, Nauru, Niue, Papua New Guinea, Samoa, Solomon Islands, Tonga, Tuvalu, and Vanuatu. With Australia, Fiji, and New Zealand being associate members and All serve on the PASO Council.

The Position:

The Operation Coordinator supports the Workplan Implementation Manager by providing technical, operational, and administerial assistance. Particularly through the effective coordination of Member States workplans and their implementation.

The core areas of responsibilities are:

  •  Operational & Administration Support
  •  Member States Relationships
  •  Records and Systems Management

Work closely with the pool of inspectors to ensure timely deployment, engagement and completion of allocated regulatory work required in the Workplans.

The role is a critical part of the Regulatory Oversight Support Services (ROSS) Team and is expected to make a significant contribution to the overall success of PASO through excellent service delivery, teamwork and building strong relationships with member states.

Essential Selection Criteria:

  •  Strong knowledge of Microsoft Office suite – Word, Excel and PowerPoint
  •  Experience in using databases
  •  Knowledge and experience in the aviation sector
  •  Keeps abreast of trends and issues across the aviation sector and related areas (both in the Pacific and overseas), knows when and where to go and get knowledge and expertise
  •  Experience in a customer-focused, commercial environment
  •  Strong attention to detail
  •  An ability to produce high-quality, fit-for-purpose reporting and analysis for managers
  •  An approach to dealing with people that results in cooperative internal and external working relationships
  • A high level of motivation, enthusiasm, and initiative
  •  A proven ability to manage confidential information
  •  An ability to work effectively in a team environment to contribute and enhance team achievement
  •  Experience providing administrative support to a senior manager is essential

Desirable:

  •  A holder of a valid driver’s license is desirable but not mandatory
