Full-Time VESSEL OPERATIONS OFFICER

Job Description

Carpenter Motors Vanuatu is seeking to recruit a VESSEL OPERATIONS OFFICER to manage the shipping documentations of the company.

Our ideal candidate will be responsible for directing and managing vessel operations. Direct responsibilities include working with Port Terminal, Vessel planners, Principal’s operation team and government offices to ensure vessels remain on schedule and are being work efficiently. The position is responsible for ensuring operational standards and processes are maintained and that all regulatory requirements are met at all times.

REQUIRED QUALIFICATIONS & SKILLS

  • College Diploma and Equivalency, College courses in Logistics, Shipping would be desirable
  • Preferably male with experience of about 3 years in shipping, vessel operation or Logistics related, previous experience as a vessel boarding agent is preferred
  • Effective Communications– Excellent written and verbal communication skills that convey a clear understanding of the unique needs of the organization
  • Direct of Work– Willingness to work to work shifts that will require days, nights, weekend, and public holiday as scheduled for port operations engaged in 24/7/365 basis
  • Collaboration– Maintains positive work relationships with the ability to communicate effectively with persons from wide authorities
  • Time Sensitive– Makes quick decisions in time-sensitive situations. Must be able to consider all relevant factors and use appropriate decision-making criteria and problem-solving skills.
  • Situational Adaptability– Able to balance multiple tasks and operate within deadline-oriented environment
  • Accountability– Establish clear responsibilities and processes for monitoring work. Take personal responsibility for decisions, actions, and failures
  • Optimizes Work Processes– Agent are required to make numerous trips to vessels during the time in port to handle any issues relevant to the efficient arrival, unload, loading and departure of the vessel

RESPONSIBILITIES (IMPORT DOCUMENTATION)

  • Manage vessel operations for Carpenters Motors
  • Coordinate and update all parties with vessel movement including principal, port authorities and all relevant government authorities
  • Coordinate operation and administrative services as required by vessel including berthing assignment, pilot, tugs and linesman before, during and after of vessels call in port
  • Prepare forms and documentation required by the agency, principal, port authorities and all relevant government authorities
  • Send out arrival and departure sailing emails and ensure vessel updates are accurate and distributed to principal, port authorities and all relevant government authorities in a timely manner
  • Manage and oversee Principals vessel and coordinates with vessel planners to ensure vessels are being worked and cargoes are discharge, load & stowed per Principal’s requirements
  • Monitor and control all vessel activities including stowage, ganging, repair (if any) and standby times
  • Boarding of vessels in port as required
  • Coordinate crew changes, spare parts delivery including transportation arrangement, hotel reservation and immigration clearance whenever required
  • Send out hazardous and reefer cargo manifests
  • Perform other related duties at the discretion of the Branch Manager
  • Make required visits to Custom’s, Port Authorities, Health and Quarantine, Maritime Safety Authorities and Immigration offices to ensure all necessary documentation is ready for vessel arrival and departure
  • Follow standards of best practices and processes
  • Understands workflow and proficiency with Microsoft Office 2013 or later to ensure accurate electronic communication is obtained from and transferred both in the office and while mobile in the field
