Job Description

The receptionist completes the following tasks

  • Telephone answer
  • Record incoming service calls in green book and daily time sheet
  • Create job cards and distribute to the technicians
  • Input completed job cards into the computer for billing
  • Chase up outstanding invoices
  • Front counter customer service
  • Filing
  • Keeps office supplies stocked
  • Provides backup support to the accounts manager, stock controller and payroll officer
  • Train the accounts manager and payroll officer on how to complete these tasks
  • Create a manual on how to perform these tasks

The stock controller completes the following tasks

  • Do a stock count at the end of the financial year
  • Reports to general manager when we are getting low on items
  • Records model and serial numbers of incoming air conditioners in computer
  • Records outgoing stock and reassigns a/c model/serial numbers to jobs
  • Match outgoing stock to job cards
  • Match incoming stock to purchase orders
  • Prepare fixed assets at the end of the fiscal year
  • Provides back up support to the receptionist and accounts manager
  • Apply pricing to completed job cards
  • Train the receptionist and accounts manager on how this job is performed
  • Create a manual on how to perform these tasks
  • Records outgoing and incoming tools.

Performs any other tasks require by the office manager and/or general manager


  • Certificate or Diploma in administration
  • 3 – 5years working experience
  • Strong knowledge and skills in MYOB and Microsoft office
  • Strong computer and numeracy literacy
  • Strong communication and customers service.
