Full-Time ASSISTANT FRONT OFFICE MANAGER

Iririki Island Resort & Spa –  Port Vila, Efate

Job Description

Iririki Island Resort & Spa is seeking a suitable candidate to appoint for the position of Assistant Front Office Manager.

Reporting directly to the Front Office Manager (FOM), your responsibilities will include, but not be limited to the following:

  • Assist the FOM in the overall administration and operations of the Front Office including the maximization of profits through cost controls, enhancement of customer’s satisfaction through establishment of quality standards, training and maintenance of high staff morale
  • Assist the FOM in overseeing the overall day-to-day hotel Front Office operations including Front Office, Reservations, Reception, Concierge, Switchboard, Night Auditors, Guest Relations, Housekeeping & Recreation
  • Maintains reservations systems such as Room Master Management System and Property Management System
  • Maintains product and service quality standards by conducting ongoing evaluations and investigating complaints. Suggests and implements corrective actions
  • Creates an operating environment that assures consistent guest satisfaction. Ensures proper handling of guest complaints
  • Ensures good safety practices of employees and guests, assisting in the maintenance of proper emergency and security procedures
  • To ensure timely, efficient & professional welcome and check-in is provided by all Front Office Team ensuring customer satisfaction
  • Maintain a high morale and productivity as well as good communication within the Front Office Team as well as between other departments
  • Monitor the level of service provided by the department (i.e. by analyzing the Guest Satisfaction Reports) and constantly working on improving it through investigation, analysis and corrective action
  • Work in partnership with Guest Services, Reservations, Sales & Housekeeping to ensure guest’s needs are determined and met in regard to room requirements
  • Monitor all front office financial operations, including group billing, verifying rates/discounts, daily sales reconciliation, petty cash and room inventory controls
  • Perform daily room and property inspection.

The successful candidate will have the following attributes:

  • Three (3) years’ experience in a similar position within a 4-5 star resort or hotel
  • Diploma or Tertiary qualification in Tourism & Hospitality Management will be considered an asset
  • Proficiency in Room Master (PMS) an advantage
  • Highly developed management & leadership skill set
  • A highly driven and motivated individual with a good knowledge and understanding of Rooms Division operations
  • Proficiency in English, multilingualism will be considered an asset
  • Knowledge of Microsoft packages including Word and Excel
  • Strong organizational, excellent time management skills and technical skills
  • Ability to work flexible hours including weekends (Saturday and Sunday).
